n8n: when self-hosting is worth it
n8n lets you host your own automations, which changes cost, control and responsibility. When that trade pays off and when it charges dearly.
n8n is a workflow automation tool that can run either on the vendor's cloud or on a server your company controls. That second option is what sets it apart from most competitors, and it is what the decision genuinely turns on.
The right question is not whether n8n is better than the alternatives. It is: does my company want to take on responsibility for maintaining its own automation infrastructure in exchange for lower cost and greater control?
What changes between hosting and subscribing
| Vendor cloud | Your own server | |
|---|---|---|
| Cost | Monthly fee by execution volume | Server cost, typically low |
| Who updates it | The vendor | Your team |
| Who answers when it goes down | The vendor | Your team |
| Where the data travels | Vendor infrastructure | Your infrastructure |
| Practical limit | The contracted plan | Server capacity |
| Prerequisite | None | Someone who administers servers |
The last row is the one that decides. There is no self-hosting without somebody responsible for it. If that person does not exist in the company and has not been contracted, the server will run beautifully until the day it stops, and on that day the entire automation stops with it.
Licensing: the detail many discover late
n8n is distributed under the Sustainable Use License, described as fair-code rather than OSI-certified open source. In practice that means self-hosting costs no licence fee for internal business use, but charging clients to run automations on your instance requires a paid commercial licence.
That distinction matters for agencies, consultancies and service providers intending to operate automations on behalf of third parties. It is worth reading the current terms before building a business model on top of it.
On figures, comparison material published in 2026 cites the self-managed version at no licence cost for internal use and cloud plans starting around €24 a month at the entry tier, with price driven by execution volume. Tool pricing ages quickly: confirm on the official page before deciding.
When self-hosting pays off
- High execution volume. The most common case. Since cloud plan costs grow with volume, past a certain point the maths inverts.
- Sensitive data that should not pass through third parties. Health, legal, tax or personal information at meaningful volume.
- A need to integrate with internal systems not exposed to the internet.
- The existence of someone who administers servers, whether internal or contracted, with declared responsibility.
When it does not
- Low volume. Below a certain threshold, the cloud subscription costs less than the time spent administering.
- Critical automation with no redundancy. If the process cannot stop, a single server with no recovery plan is a bigger risk than the saving.
- Nobody formally responsible for maintenance. Updates, backups, monitoring and certificates do not handle themselves.
- The company is still working out what it wants to automate. At that stage the effort belongs in designing the process, not in standing up infrastructure.
The right automation does not begin with the tool. It begins with clarity about what deserves to be repeated, scaled or eliminated.
What to decide before the tool
Whichever way you go on cloud versus self-hosting, three definitions come before implementation:
- Which process will be automated, and why. A flow nobody can explain in one sentence should not be automated yet.
- What happens when the automation fails. Alert whom, and what the manual contingency is. Automation with no failure plan transfers risk rather than reducing work.
- Who owns the flow. A named person, responsible for keeping it working when the system on the other side changes.

Frequently asked questions
Is n8n free?
The self-managed version charges no licence for internal business use, under the Sustainable Use License, but it requires a server and somebody to maintain it, which has a cost. The cloud version is paid by execution tier. And using your instance to run automations you charge clients for requires a commercial licence.
Is n8n better than Make or Zapier?
It depends on what the company values. n8n offers self-management and greater control, at the cost of taking on the infrastructure. Make and Zapier deliver managed operation, with a lower entry curve and predictable cost. There is no universal answer, there is a fit with the team's context. The side-by-side comparison is in Make vs Zapier vs n8n.
Do I need to code to use n8n?
For simple flows, no. For handling data, dealing with exceptions and integrating with internal systems, some technical repertoire makes a difference. The level required is comparable to other tools of its kind, with the difference that self-management adds the infrastructure part.
Where should I host n8n?
On any virtual server provider, or on corporate cloud the company already uses. Choosing the provider matters less than having defined who handles updates, backups and monitoring, which are the three activities that keep an instance alive.
Automating is the fourth step, not the first
Choosing between cloud and self-hosting is an infrastructure decision, and it only makes sense once the process is documented, simplified and standardised. Automating a process that still changes weekly produces a flow that breaks weekly. The order that avoids that is in document, simplify, standardise, automate.
If you want to know which process is ready to be automated in your operation, that is where a strategic diagnostic starts.
